Booking Terms & ConditionsBOOKINGS: 1.1 You can make booking by sending us e-mail, filling out the request form below or calling us +372 6108780, +372 52 48099 (24h GSM phone) or calling by Skype +372 7120076 (Skype number), ereltallinn (Skype name). 1.2 Your reservation will be confirmed by us as first priority by sending you by e-mail or fax confirmation letter. Your reservation has to be also guaranteed with prepayment of 30% of the total amount of accommodation service. Instructions of prepayment you will receive with confirmation letter. 1.3 The same day arrivals after 18:00 (6 pm) or during weekend and public holidays can be made only over the phone +372 5248099 and payment in full is applicable on arrival. 1.4 EREL is not obliged to keep the offered apartments on hold for you without pre-payment (30% of the total amount of the reservation), i.e. they can be offered to other clients simultaneously.
2 PAYMENTS: 2.1 Payments can be made through following methods of payment: 2.1.1 By Visa, MasterCard, Euro Card, American Express credit cards. There is no transaction fee by payments with Visa, MasterCard, and Euro Card. By American Express will be applied a transaction fee of 2% of the total amount. Transaction fees are non-refundable. 2.1.2 Bank Transfer: in Estonian kroon (EEK) or Euro (Bank details are available in confirmation letter). In case of foreign remittance a one-time bank fee of 6 EUR (90 EEK) will be added. 2.1.3 The balance (70% of the total of the reservation, if not agreed differently) shall be paid on arrival during check-in. Payment can be made by credit card (Visa, MasterCard, Euro Card, American Express) or cash. Please note that we accept only local currency – Estonian kroon (EEK). 3 CHECK-IN & CHECK-OUT TIMES & TERMS: 3.1 Check-in time: after 15:00 (3pm), Check-out time: prior to 12:00 (12am) 3.2 Early check-in 9:00 to 15:00 is possible if apartment is available, no additional charges 3.3 Early check-in 00:00 to 9:00 only if information is given when making the reservation, additional charge 1 night price and a “early check-in fee” of 280 EEK (18 EUR) 3.4 By late check-in after 10 p.m. there is an obligatory “late check-in fee” of 280 EEK (18 EUR) 3.5 Late check-out until 14:00 is possible if apartment is available, no additional charges 3.6 Late check-out after 14:00 is possible if apartment is available, additional charge 1 night price (we suggest you to give this information when making reservation) 3.7 In case guest doesn’t leave latest for 12:00 and late check-out is not agreed in advance, EREL can charge the client without prior notice late check-out fee equal to 1-night stay. 3.8 The apartment has to be left in good condition. In case the apartments needs extra cleaning the costs will be charged from guest. 3.9 When leaving the apartment lights, electrical appliances (i.e. iron but not TV, stereo) and gas or electrical stove has to be switched off. 3.10 When leaving apartments, all windows have to be closed and door locked. Key has to be returned as agreed on arrival with the EREL representative.
4 ARRIVAL: 4.1 We are pleased to provide to clients, who will stay in business class apartment complimentary transfer on arrival and who will stay in business-suite apartment complimentary transfer on arrival and departure. Transfers are from and/or to the airport, port, central bus station, railway station of Tallinn. 4.2 Therefore we ask you to send us latest 2 working days prior to your arrival day your exact arrival information, such as arrival time, flight number, ferry company’ name and by business-suite apartment bookings also the time when you wish to be picked-up from apartment. In case you don’t do that, we can not guarantee you the transfer. 4.3 By “Special Prices”, “Last Minute Offers”, other “Bargains and Bonuses” free transfer is not applicable. 4.4 In case of no transfer, you can collect keys from our office at Tartu rd 14 (3rd floor) on Mo-Fr 9:00-18:00. Otherwise a meeting point at the apartment will be agreed in advance. Approximate time should be agreed latest 2 days in advance, exact meeting time latest 1 hour before the arrival time on arrival day. 4.5 Prices of transfers (as additional transfer or by standard class apartment reservation): • Transfer on arrival 1-4 people - 350 EEK / 22 EUR • Transfer on arrival 5-8 people - 380 EEK / 24 EUR • Transfer on departure 1-4 people - 260 EEK / 17 EUR • Transfer on departure 5-8 people - 290 EEK / 19 EUR
5 RATES: 5.1 All apartment rates quoted are based on the rates prevailing at the time that a booking is confirmed. Once a booking has been confirmed EREL will not change the rate quoted unless you amend the booking but otherwise rates are subject to change without notice. 5.2 Rates are quoted in Estonian Kroon (EEK) and for your comparison also in EUR (using the official fixed exchange rate 15,6466). Please note that we can accept payments only in EEK. Banks buy EUR approximately with rate of 15,57. The exchange rates of currency exchanges fluctuate and can be different also in different Currency Exchanges. Monthly stay rates are on per apartment per month basis depending of the length of the stay. 5.4 All rates include: • 9% VAT; • Bed linen and towels (one big and one small per person) according to the number of people; • Arrival transfer service by business class apartments for the number of people confirmed in the booking (from and to the airport, port, central bus station, railway station of Tallinn) except by “Special Prices”, “Last Minute Offers”, other “Bargains and Bonuses”; • Arrival and departure transfer service by business-suite class apartments for the number of people confirmed in the booking (from and to the airport, port, central bus station, railway station of Tallinn) except by “Special Prices”, “Last Minute Offers”, other “Bargains and Bonuses”; • Final cleaning; • Housekeeping and linen service as follows: by Standard and Business class apartments - Weekly Service, by Business-suite apartments – after each 2 days (every 3rd day) • Internet connection in all business and business-suite class, and Sakala Residence standard class apartments; • Complimentary local phone calls in all business and business-suite class apartments; • Cost of water, heating, electricity.
6 MAXIMUM ROOMING CONFIGURATION FOR ALL APARTMENTS:
• 1 Bedroom = 1-2 persons • 2 Bedrooms = 1-4 persons • 3 Bedrooms = 1-6 persons depending of the apartment 6.1 Most of apartments are equipped with beds that unzip into two single beds, therefore please advise your bedding configuration at time of booking. 6.2 Many apartments have a sofa-bed in living-room which are suitable for 1 or 2 persons. In case you wish to use sofa-bed, please inform about this at time of booking. 6.3 Blow you will find prices for possible additional sleeping arrangements: Additional beds: Extra bed 500 EEK / 32 EUR per 1-3 nights total Baby bed 500 EEK / 32 EUR per 1-3 nights total Every additional night 100 EEK / 6 EUR per night Sofa-bed 115 EEK / 7 EUR per bed per night 7 CANCELLATION CONDITIONS: 7.1 We cannot be responsible for bad weather, illness, and changes in travel plans or travel delays. In the case that confirmed booking had been made and you fail to inform us about your decision to cancel or to modify your stay in our apartments prior to seven days before their arrival or before the modification date, we unfortunately have to demand cancellation and modification compensation or early departure fee. The details below are our penalties and are valid also when you have already checked-in and decide to departure earlier. The cancellation fee will be debited from the credit card you authorized the prepayment transaction or from the registration card. 7.2 Cancellation and modification compensations and early departure fees in case made later than the terms below: 7.2.2 By bookings for 1-2 nights: 7.2.2.1 more than 7 days prior to arrival: no charge 7.2.2.2 7 to 1 days before arrival: 1 night charge 7.2.2.3 on the day of arrival: whole stay charge
7.2.3 Bookings for 3-6 nights: 7.2.3.1 more than 7 days prior to arrival: no charge 7.2.3.2 7 to 1 days before arrival: charge 30 % of your whole stay 7.2.3.3 on the day of arrival: charge 50 % of your whole stay 7.2.4 Bookings for 7 nights and more: 7.2.4.1 more than 14 days prior to arrival: no charge 7.2.4.2 14 to 1 days before arrival: charge 30 % of your whole stay 7.2.4.3 on the day of arrival: charge 50 % of your whole stay 7.3 For monthly stays will be applicable different cancellation conditions. 7.4 By reimbursements, the pre-payment will be reimbursed less processing fee of 400 EEK (26 €) per apartment and the bank fees. 7.5 Discounted rates are only offered with strict cancellation policies. Once a booking is made, it cannot be cancelled. Any deposit or payment will be forfeited in the event you cancel. If you are unsure that your accommodation requirements are definite, we suggest you reserve an apartment with rack rates. 7.6 If in the event that we cannot provide the apartment accommodation as requested, we will find alternative accommodation in another apartment in an equivalent or better unit. In extreme cases we will relocate a guest to a near by apartment or hotel of similar standard, or offer a full refund or alternative available dates. 8 GUEST RESPONSIBILITIES: 8.1 Guests must keep the apartment and all furniture, fittings, facilities and equipment in the same state of repair and condition as at the commencement of the stay. 8.2 If in the event that a guest has caused damage to the property or effected other guests/occupants of the property, EREL reserves the right to ask that guest to leave and forfeit any monies paid, and will require the guest to pay for any damage caused. Guests are financially responsible for all damages or loss, which occurs to the property or its contents during the stay, and will be responsible for paying appropriate compensation to us in the event of damage and for any items removed from the location. The cost of damages will be charged to booker/guest credit card with prior notice. 8.3 Guests must follow the fire requirements (please read the fire security requirement in the guest information in the apartment); 8.4 Guest must keep the apartment and public rooms (staircase) and territory of the building clean; 8.5 Guest must close and lock the apartment door and outer doors properly at all times. In case the guest leaves the apartment unlocked, the guest is financially responsible for the costs that derive from possible burglary; 8.6 Guests shall behave in a civil manner, refraining from loud noise and rude behavior, which may disturb other people. If a guest/occupant behaves in an unacceptable or aggressive manner to other guests/occupants or EREL, or is suspected of carrying out illegal acts on the premises, the guest/occupant will be asked to leave and the appropriate authorities will be notified. All monies paid will be forfeited. 8.7 It is strictly forbidden to have parties in the apartment, see also our No Party policy (section 8). 8.8 It is forbidden to smoke inside the apartment or inside the staircase. In case of breaking this, there will be a penalty for special cleaning and for 2 daily rates. 8.9 In case of loss of key, guest is responsible for covering the costs of changing the lock of the door(s). For security purposes the lock has to be replaced. 8.10 For security reasons, do not let into property any person you do not know, or do not leave them unwatched. We accept no responsibility for any loss, damage or consequential losses due to theft or any other security 8.11 Any valuables left in apartment without supervision are at your own risk. EREL is not responsible for their loss. We recommend you to cover yourself, every member of your party, your luggage and your party’s luggage, cash, jewels, valuables, ect by a comprehensive travel insurance.
9 STRICT NO PARTY POLICY: 9.1 EREL actively enforce a No Party and Excessive Noise Policy. No parties of any kind are tolerated on these premises. Any person(s) found to be creating excessive noise (loudly playing radio, TV set or any other device, loud musical instrument or singing, use of electrical appliances, jumping, running, hammering etc.), having a party in the apartment from 11 pm to 7 am, or exceeding the numbers of permitted guests, will be evicted without refund at the discretion of staff on duty. Any subsequent damage will be charged to the guest. EREL reserves the right to evict a guest and/or visitors. 9.2 In case of breaking this, we have the right to involve security or police, and/or you have to vacate the apartment. All costs related are cost of the guest. By vacating the apartment, no refunds will be paid to guest. 9.3 THERE WILL BE NO WARNING GIVEN. 9.4 The following is a list of examples (but not limited to) in which EREL may evict a guest or visitor without warning, should conditions warrant: • Intoxication and unsavory behavior • Overcrowding the apartment • Physical or verbal assault towards staff, residents or other guests • Willful damage to EREL property • Any incident for which the police need to be called on to the premises • Any behavior posing a safety threat to others • Ignoring advice to reduce excessive noise (music or other noise) • Throwing of objects over apartment balconies or from windows • Smoking
10 SECURITY BOND: 10.1 Upon arrival at the apartment credit card details will also be taken as security for any additional charges. For that there will be filled out the registration form with the credit card details upon check-in. 10.2 EREL may deduct from the credit card the amounts of any additional charges incurred by the guest during their stay and to cover incidental items such as (but not limited to): 10.2.1 Keys: EREL will issue the guest with 1 set of keys and extra keys are available on request. If the issued keys are not returned on departure a charge to cover the costs of changing the lock(s) will be made to the booker. If between the hours of 6 pm and 9 am a guest locks themselves out of the property and/or the apartment and requires assistance to re-enter the property and/or the apartment, EREL reserve the right to charge 500 EEK (32 €) call out charge in addition to the charge for lost keys. 10.2.2 Damages: Damages to the apartment or contents (equipment, bed linen, towels, dishes ect), to third parties caused by the guest must be paid in full by the booker. In the event of any breakages or damage discovered after the guest vacates, EREL will notify the booker by e-mail within 1 week of the guest’s departure, providing a detailed breakdown of the issues and the cost of rectifying them. Where possible, photographic evidence will also be supplied. 10.2.3 Call Outs: If the emergency call out number is used to call out the person in duty between the hours of 6 pm and 9 am for any purpose other than an emergency, EREL reserve the right to charge the booker a call out fee of 500 EEK (32 €). 10.2.4 Cleaning: EREL expects the apartments to be left in a reasonable state on departure. If, at EREL’s discretion, additional cleaning is required on departure, the cost of this cleaning will be charged as an additional charge. In addition, if an apartment is deemed unfit for occupation, the booker /guest will be obliged to pay compensation to EREL for loss of revenues in addition to the costs of cleaning and repair. In addition EREL reserves the right to charge 2000 EEK (128 €) for specialist cleaning to an apartment and/or its contents where smoking has taken place. 10.2.5 Costs that derive from misuse of alarm system 10.2.6 Violating “No Party Policy” regulations 10.2.7 Cancellation fees in case they are applicable according to the cancellation conditions 10.2.8 Late check-out fees (section 3) 10.2.9 Not paid accommodation fees 10.2.10 Other Chargeable Services (extra cleaning, sightseeing, babysitting ect.) 10.3 Within one week of any deduction of any additional charges from a credit card, EREL will provide the booker by e-mail or otherwise with a breakdown of the issues and the applicable additional charges. 10.4 If you do not agree with this policy, you should have adequate cash on arrival to cover the security bond / deposit. We do not accept any personal or company cheques, money orders or foreign currency on arrival. The amount can be in amount of 1-night stay but can be also higher.
11 DESCRIPTIONS, PHOTOGRAPHS & MAPS: 11.1 Descriptions and maps are based on information available at the time of publishing and may vary or change at anytime. Photographs are actual ones, but may vary a bit, in decor and inclusions from those shown.
12 TRAVEL INSURANCE: 12.1 We recommend that, at time of booking, you consider purchasing a travel insurance policy of your choice. Travel Insurance can be purchased from any travel agent.
13 UNACCOMPANIED MINOR/S: 13.1 A child/children, who is/are traveling/staying without the accompaniment of an adult over the age of 18 years is considered by most airlines/hotels as an unaccompanied minor/s. Unaccompanied minor reservations are not accepted by EREL
14 LIMIT OF LIABILITY:
14.1 We do our best to ensure your booking arrangements are satisfactory, however EREL does not accept any liability whatsoever for any injury damage, loss, delay, additional expenses or inconvenience caused directly or indirectly by any events which are beyond its control including, but not limited to, war, civil disturbance, terrorism, fire, floods, acts of God, acts of Government or of any other authorities, accident to or failure of machinery or equipment, maintenance requirements or industrial action. 14.2 EREL is not responsible for the personal injury or death of any person staying in the apartment. 14.3 The EREL buildings are secure environments and we do everything possible to ensure security levels are maintained, and we ask that our guests do so too. However, EREL takes no responsibility for any personal possessions that are lost, stolen or misplaced whilst on the premises. In that regard, we recommend that our guests obtain an appropriate level of travel insurance. 15 RESPONSIBILITY OF EREL 15.1 EREL is responsible: 15.1.1 holding pre-paid bookings until next day 12 am; 15.1.2 in absolute necessity (i.e. apartment is out-of-order), to change the apartment for an equivalent or better unit; 15.1.3 arranging transfer according to the terms regarding arrival regulation (see section 7) 15.1.4 arranging the delivery of keys on arrival 15.1.5 in case needed explaining the equipment of apartment on arrival 15.1.6 in case of broken appliances to do the best of replacing or fixing the item(s) as first priority, but EREL can not be responsible for any circumstances beyond their control including, but not limited to, breakdown or failure of any public or other service supply (internet, cable/satellite/digi-TV, water, electricity and heating supplies);
